The challenge: fees chased by phone
CSM manage property across Northern Ireland, and the fees that pay for it were being chased by phone, post and bank transfer.
Every payment that came in the slow way was admin somebody had to do by hand, and there is no version of that job that gets easier as the portfolio grows.
Property management is also a service almost nobody shops for. Tenants inherit it with a flat and owners arrive through an agent, so the site is read by people who did not choose to be there and want an answer rather than a pitch.
Payments were the delicate part. Taking card payments in a business built on phone calls and bank transfers meant the route had to look obviously safe, or tenants would ignore it and the admin would carry on exactly as before.
Our approach: make paying easy
Most of the admin here was a payment arriving the slow way, so the site takes payments.
Revolut handles the card side, and the pay page is deliberately plain: what the fee is, who it is for, and a card field. Nothing on it asks a tenant to create an account or work out which of six options applies to them.
The rest of the site explains a service people rarely go looking for. Management services get their own pages in plain language, and the aerial photography of Belfast does the job a stock photo of a handshake usually gets handed.
Craft CMS sits behind all of it, so CSM add services, post news and change the detail themselves. Enquiries arrive through the site rather than over the phone, which was the other half of the admin problem.

The brief was really about admin. Every feature here removes a phone call, a posted cheque or a manual reconciliation.
Online fee payments
Tenants pay by card through Revolut on a page that asks for the fee and the card and nothing else, in place of a phone call or a bank transfer.
Service pages
Each management service explained plainly, for an audience who inherited the arrangement rather than went shopping for it.
News publishing
A place for CSM to post updates, kept current by the team rather than by us.
Enquiry forms
Enquiries land with the team directly, which took a further chunk of phone traffic out of the working day.
Location and contact
A map and contact details on the payment and service pages, because most visits end in wanting to reach somebody.

Services, news and page content are all CSM’s to edit, with no developer involved in a routine change.
